1. Overview & Key Capabilities

Holon LDA is a Canvas LTI tool that helps instructors identify and document the Last Date of Attendance (LDA) for students — a federal requirement under 34 CFR § 668.22 for financial aid compliance reporting.

Holon LDA runs entirely within Canvas as an embedded LTI 1.1 tool. No separate login is required — your Canvas identity and course data are used automatically.

Key Capabilities

  • Scan one or more courses to identify each student's last recorded Canvas activity date
  • Flag students who have never attended (never submitted, never logged in)
  • Confirm LDA dates per student before submission to your financial aid office
  • Override any suggested LDA date with a manually confirmed date and note

Important: LDA dates shown in Holon LDA are suggested values derived from Canvas activity data. They are not official records. Per 34 CFR § 668.22, you must personally confirm each date before submitting to your financial aid office.

3. Dashboard

The Dashboard gives you a quick overview of your most recent scan activity.

Stat Cards

Total Students Scanned

The number of students included in your most recent scan.

Never Attended

Students in the latest scan with no recorded Canvas activity. These students require reporting to your financial aid office.

Reports Generated

Total number of scan reports stored for your account.

Last Scan

The date your most recent scan was run and the term it covered.

Course Summary

Shows a per-course breakdown of the most recently run report: total students, never-attended count, and attendance rate progress bar.

Recent Scans

Lists your last few scans with date, time, runner name, student count, and a checkmark if the scan completed successfully. Click Run New Scan to go directly to the scanner.

4. Running an LDA Scan

A scan reads Canvas activity data for the selected courses and determines each enrolled student's last recorded activity date.

Step-by-Step

  1. Click Run LDA Scan in the sidebar.
  2. Select a Term from the dropdown. Only terms with active courses will appear.
  3. Once a term is selected, your courses for that term load in the Courses to Scan list.
  4. Check the box next to each course you want to include. Use Select All to select all at once, or Clear to deselect all.
  5. The counter below the list shows how many courses are selected. Individual licenses are limited to 10 courses per scan.
  6. Click Run LDA Scan. A progress log appears showing each course being scanned in real time.
  7. When complete, you are taken to the report detail page automatically.
What counts as activity? Canvas records activity when a student submits an assignment, views a page, participates in a discussion, takes a quiz, or accesses course content. The most recent of these events is used as the suggested LDA.
Never-attended students are those with zero Canvas activity recorded. They appear with a red "Never Attended" label and must be reported to your financial aid office regardless of their enrollment status.

5. Reports

Every completed scan is saved as a report. Reports persist across sessions and can be revisited at any time.

The Reports page lists all your historical scans with:

  • Date / Time — when the scan was run
  • Run By — the instructor who ran the scan
  • Term — the Canvas term covered
  • User Role — Instructor or Admin
  • Students — total students in the scan
  • Never Attended — count of never-attended students

From each row you can:

  • View — open the full report detail page
  • — permanently delete the report

6. Reviewing & Confirming LDA Dates

After opening a report, you must personally review and confirm each student's suggested LDA date before submitting to your financial aid office.

Confirming Students

  1. Review each student's suggested LDA against your own records.
  2. If the date is correct, check the box in the first column. The row turns green.
  3. To confirm all students at once, click Confirm All.
  4. The progress indicator (top-left of the toolbar) shows X / Total confirmed.
You are responsible for the accuracy of confirmed dates. Holon LDA suggests dates based on Canvas data only. You must verify against your own attendance records before confirming.

7. Overriding an LDA Date

If the suggested LDA date is incorrect, you can override it with the correct confirmed date.
  1. In the report detail, find the student whose date needs correction.
  2. Click Set LDA below the suggested date.
  3. A modal appears showing the current suggested date.
  4. Enter the correct date using the date picker.
  5. Optionally add a note explaining the reason for the override (e.g., "Student submitted paper assignment on this date").
  6. Click Save. The date updates immediately and is marked as "Overridden" in amber.
Override notes are included in CSV exports, providing an audit trail for your financial aid office.

8. Exporting Reports

Confirmed reports can be exported for submission to your financial aid office.

XLS (CSV)

Downloads a comma-separated values file that opens in Excel, Google Sheets, or any spreadsheet application. Contains all student records with name, SIS ID, course, enrollment status, confirmed LDA date, and last activity description. Override notes are included when present.

PDF

Opens the report in a new browser tab formatted for printing. Use your browser's Print function (Ctrl+P / Cmd+P) and select Save as PDF as the destination to generate a PDF file.

Export after confirming all students so the exported file reflects your verified records.

9. Compliance Center

The Compliance Center provides a summary view of never-attended students across your most recent scan.

The stat cards show your overall attendance rate and never-attended count. The table below lists every never-attended student with their name, email, SIS ID, course, and status.

Note: Holon LDA does not make compliance determinations. The Compliance Center is a data summary tool only. All reporting decisions remain the responsibility of the instructor and institution.

10. Regulatory Background

Understanding the federal requirement that Holon LDA supports.

34 CFR § 668.22 — Title IV Return of Funds

Federal regulations require institutions to determine a student's Last Date of Attendance when they withdraw or stop attending. This date is used to calculate the amount of Title IV financial aid the student has "earned" and whether any funds must be returned.

For courses delivered online or in hybrid formats, institutions must document the student's last date of academically-related activity — not simply their last login date. Academically-related activities include:

  • Submitting an academic assignment
  • Taking an exam or quiz
  • Participating in an online discussion
  • Initiating contact with a faculty member about academic matters

Holon LDA uses Canvas activity data as a starting point. Instructors must verify this data against their own records and confirm dates before submission.

Holon LDA does not constitute official Title IV compliance reporting. Always work with your institution's financial aid office to confirm your reporting obligations and submission process.

11. FAQ & Troubleshooting

Why does a student show "No activity found"?

Canvas has no recorded activity for that student in the scanned courses. This is different from "Never Attended" — it may mean the student accessed the course but did not perform a tracked action. Verify with your own records.

Why does the last activity description say something about BioSig-ID?

BioSig-ID is an identity verification tool used by some institutions. If it appears as the last activity, the student's last recorded action in Canvas was completing a BioSig-ID verification challenge. The associated date is still a valid activity date.

Can I re-scan after confirming dates?

Yes. Each scan creates a new report. Confirmed dates from previous reports are not carried forward — each scan starts fresh from Canvas data.

I confirmed all students but some are still showing as unconfirmed.

Try refreshing the page. If the issue persists, confirm individually by clicking each checkbox rather than using Confirm All.

My courses are not showing in the scanner.

Make sure you selected the correct term. Courses in "Default Term" may not appear under specific term filters. If courses are still missing, your Canvas API token may need refreshing — contact your LMS administrator.

The XLS file won't open in Excel.

The XLS button downloads a CSV file. Right-click the downloaded file, choose Open With, and select Microsoft Excel or Google Sheets.

What is the 10-course cap?

Individual licenses allow scanning up to 10 courses per scan. If you need to scan more than 10 courses, contact Holon Technology about an Institutional license.
